Description
While this position is considered permanent (i.e. indeterminate-term), please note that the continuity of all roles is contingent on sustainable funding.
CBRC is seeking an individual with strong communication and organizational skills to join our team in this entry-level position. Reporting jointly to the Director, Two-Spirit Health and the Operations Manager, the Two-Spirit Program and Operations Coordinator will have good planning, organizational, and administrative skills, including good oral and written communication skills in English. They will be able to interact with key contacts at all levels, including colleagues, vendors / suppliers, Elders, and community members. They will be familiar with equity, diversity, and inclusion concepts and practices and be able to manage sensitive or confidential information. They will be able to work independently (manage time & multiple tasks / projects, meet deadlines, adapt to changing priorities) while also thriving as a member of a cohesive, supportive, collaborative team. Some travel (specifically to Two-Spirit community events) will be required.
Primary Job Responsibilities
Approximate percentages of time spent on each activity (averaged over 1 month) are provided as an estimate only, but this may develop over time.
- (50%) – Two-Spirit Program coordination & administration, including communications support (email, voicemail, or other program inquiries), attending team meetings and supporting note taking, assisting with finance tasks (honoraria requests, expense reports, Elder gifts, etc), supporting coordination of program events including travel arrangements, travelling to and participating in conferences or other gatherings.
- (25%) – General administration, including assisting in the maintenance of internal calendars, operations systems, and Two-Spirit Program materials; monitoring general email and voicemail accounts, coordinating ordering, receiving, and shipping office supplies, supporting general event and annual Symposium and Summit logistics, providing general administrative support to the CBRC team.
- (20%) – Human Resources administration, including assisting with preparation and completion of employee and contractor agreements, coordination of purchase, delivery, and return of equipment, maintaining and updating internal HR calendars, assisting with administrative processes for recruitment, selection, onboarding, and offboarding.
- (5%) – Finance support, including supporting expense preparation and payment processing, maintaining forms and templates, supporting banking activities, and drafting T4As.
Minimum Requirements
- Identification as Indigenous and strong connections to Indigenous / Two-Spirit communities.
- 1-2 years paid or volunteer experience in office administration, reception, human resource administration, or another relevant area.
- OR 1-2 years experience working in a customer-facing environment (retail, food service, etc) Demonstrated experience working with individuals from a variety of backgrounds and lived experiences.
- Demonstrated experience working in a team environment.
- Proficiency in using computers and a variety of software: Microsoft 365, Microsoft Word, Excel, Outlook, PowerPoint, Google Workspace, and various video conferencing platforms (i.e. Teams, Zoom, Google Meet).
Other Competencies & Qualifications (assets)
- A certificate, diploma, or degree in office administration or a similar field is an asset.
- Experience working in a hybrid / remote environment is an asset.
- Ability to work in French is an asset.
